Understanding the SASIxp Scheduling Cycle

1.       Two Scheduling Tools:  Basic Scheduling and Mass Scheduling*

a.      Basic Scheduling:  “Walk-in” scheduling; used after school year starts as new students arrive

b.      Mass Scheduling*:  Used to schedule all students for a coming school year; “off-line” for current year

2.       Typical Scheduling Cycle

a.      August:  School starts with all students scheduled for current year

b.      August – May:  New students are scheduled for current year with Basic Scheduling

c.      January:  New Year Rollover is done to create files for the coming year (no impact on current year)

d.      January – July:  Students are scheduled for coming year with Mass Scheduling* (no impact on current year)

e.      July – August:  New school year starts and new schedules are activated for all students

f.        Go back to Step a and start again

*Mass Scheduling is recommended for 1st-year SASIxp users; Schedule Pro can be used in subsequent years.

 

Using Mass Scheduling:  The Five Main Steps

1.       Validate Courses

a.      Be sure New Year Rollover has been completed by the District

b.      Be sure you’re using the GREEN screen (indicates coming year; regular SASIxp screen is blue)

c.      Set Course ID length (8 in SC)

d.      For each course, set Low Grade and High Grade

e.      For each course, set Academic Tag

f.        For each course, set Credit Value

g.      For each course, set up to 3 Subject Areas (must have at least one; last one should be Elective)

2.       Validate Teachers

a.      Inactivate departing staff

b.      For each teacher, fill in Short Name field (this prints on all reports)

c.      Check spelling of names and other information (prints on reports, etc.)

3.       Handle Course Requests

a.      Pre-schedule applicable students

b.      Use Mass Assign

c.      Drag and Drop

d.      Pre-scheduled Edit List (SSS17):  Helps clean up course requests

e.      Course Request Tally (SSS03)

                        i.      Identify “no-go” courses

                       ii.      Adjust course requests; make changes for students, as needed

f.        Potential Conflicts (SSS06):  Singleton/doubleton matrix

4.       Create Sections

a.      Manual process; software does not create sections

b.      Use previous year’s Master Schedule as a starting point

c.      Use Tally report to modify number of sections

d.      Use Duplicate Section, if appropriate

5.       Schedule Students

a.      Run Pre-Schedule Edit AGAIN and clean it up

b.      Scheduling options

                        i.      Ignore maximum class size

                       ii.      Select scheduling sequence

c.      Run Scheduler to schedule all students

d.      Print the Sections List (SMS02)

                        i.      Print in Course ID order:  Identify periods with overloads; add/delete sections as needed

                       ii.      Print in Teacher Name order:  Verify that each teacher has a full schedule

                     iii.      Print in Room order:  Verify that each room is used only once per period

e.      Schedule all students again and run the SMS02 variations again (5c and 5d, above)

f.        Resolve conflicts (use analysis page in Scheduling Atom)

g.      Update classes to make schedules active for all students
